Setting up a new company

This guide will provide you with clear instructions on setting up a new company in Sage 200.

 

To begin, ensure you have administrator rights within your Sage 200 system, and that the Sage 200 Administration client is installed. If you need assistance with installation, please contact your Sage 200 Administrator or IT department.

 

How to create a new company:  


  1. Navigate to Start > Sage UK Limited > Sage 200 Administration or double-click the Sage 200 Administration icon on your desktop.

  2. Click on Companies.

  3. Attachment Folder: If you have existing companies, you'll need an attachment folder in the same location for the new company. To create it, double-click on any existing company and select and copy the contents of the attachment folder using Ctrl & C.

  4. Open Windows File Explorer via your toolbar or by pressing the Windows button and enter This PC. Click at the end of the address bar to highlight the contents, delete it, and paste in the copied attachment path using Ctrl & V.

  5. Click on the attach or attachments part of the address to return to the previous level.

  6. Right-click in the white space at the bottom of this window and select New, then Folder. Enter the new folder name for the company you're creating. You can use an abbreviation if needed.

  7. Double-click the new folder.

  8. Right-click at the end of the address bar and copy the contents. You can paste this into Notepad for later use when creating the new company.

  9. Right-click anywhere in the right-hand pane of the form and select Add New Company.

  10. Enter the details of the new company in the following fields:

    Company Name: Enter the name of the new Sage 200 company as it will be displayed during login.
    Parent Company: This is only applicable if you're using Consolidation in the Nominal Ledger.
    Attachments: Paste the copied attachments folder path using Ctrl & V. If you haven't created an attachment folder, do so on the Sage server. Once created, you can click the ellipsis beside the attachment folder to browse to it.
    Server: Enter the name of the SQL Server or select it from a list of available servers. If you're unsure, contact your IT department.
    Database name: Enter the name of the database as it will be displayed in SQL.

  11. Click the Create button.

  12. Set the Financial Year start month and year and click OK.

Please note: If prompted for a username and password, contact your IT department for the SQL sa password.

 

Completing the company setup:

 

  1. A progress bar will appear briefly while it creates the new blank company. Once it's created successfully, click OK and respond to any prompts.

  2. Right-click on the company in the list and select Update. This ensures that any custom tables that aren't created initially are added to the new database.

  3. The final step is to click on the Members tab and assign users to the new company. Highlight users from the left-hand list and click the single arrow to transfer them to the right-hand list. Repeat for all users who require access to the new company.

  4. Click OK to save.
